quality & standards
all work is produced to professional production standards
direction, filming, sound, lighting, and editing are carried out with care to achieve the agreed creative and technical quality
pre-production
a short discovery session may be held to confirm objectives, style, and logistics
all pre-production materials, schedules, and permissions should be confirmed before filming begins
any changes to the brief after approval may affect budget or timeline and will be discussed before proceeding
production
operator/crew will arrive at the confirmed location and follow the agreed plan or shot list
setup time averages 30–45 minutes, with 15 minutes per additional setup throughout the day
filming continues until all agreed content has been captured
editing & review
an initial edit is supplied within 7–14 days of the shoot date, depending on scope
two feedback rounds are included; further rounds may be billed at the standard hourly rate
feedback must be provided via the online review link before the final export
final delivery
when all revisions are complete and the final invoice has been paid in full, downloadable files will be unlocked and delivered via secure cloud link
payment terms
50% of the total quoted amount is due upfront
50% of the total quoted amount is due on completion of deliverables
all prices are exclusive of GST
ownership of media transfers to the Client only after full payment is received
cancellations & postponements
cancellations within 48 hours of a scheduled shoot incur a 50% fee
postponements due to weather or unforeseen circumstances may be rescheduled without penalty, subject to crew and location availability
time booked represents the Producer’s sole income source and may not be rebooked at short notice
contingency & force majeure
if filming cannot proceed due to events beyond control—such as illness, equipment failure, extreme weather, or government restrictions—production will be rescheduled at the earliest practical date
neither party is liable for delays or losses arising from such events
usage rights
upon full payment, the Client receives unrestricted rights to use the final videos for marketing, web, and internal purposes
the Producer retains the right to use extracts for portfolio, showreel, or promotional use unless otherwise agreed in writing
raw footage remains the property of the Producer unless specifically purchased as part of the agreement
travel & expenses
travel, parking, and accommodation costs may apply for shoots beyond 60km of inner Melbourne
any additional costs will be discussed and approved prior to travel
confidentiality
all confidential or sensitive material shared for production will be handled with discretion and used only for project purposes
independent contractor
the Producer operates as an independent contractor
personnel involved in production are not employees of the Client
indemnity
each party agrees to indemnify and hold the other harmless from any claim or liability arising from their own breach of this agreement or misconduct
insurance
standard public liability and equipment insurance are maintained by the Producer
clients are responsible for any additional insurance or coverage for their staff, talent, or locations if required
publicity
unless otherwise stated in writing, the Producer may reference the project and use stills or short excerpts for promotional purposes
dispute resolution
any disputes will first be addressed in good faith through discussion
if unresolved, the matter will be handled under the jurisdiction of Victoria, Australia
entire agreement
these terms & conditions represent the full understanding and agreement between the Client and the Producer (Videographer Melbourne)
